Privacy statement

1. Who we are

The Dutch Coaching Studio, a trade name of Het Studiecafé, is responsible for your personal data.

2. Your data and how we use it

We use your name, birth date, contact and billing details, Dutch level, goals, exam information, availability, appointments, messages, progress and relevant coach notes to handle enquiries, match you with a coach, provide coaching and arrange payment.

We process data to respond to your request, carry out our agreement, meet legal duties or protect legitimate business interests, such as handling complaints. Where consent is needed, we ask for it. Without required registration or payment details, we cannot provide the service.

Your birth date helps us check your age and personalise communication. For students under 18, we collect a parent or guardian’s name, email and declaration, then confirm permission before coaching or payment. Parents receive necessary administration and general progress updates, not automatically private conversations or full coach notes.

We record privacy acknowledgements, acceptance of terms and requests to start during the withdrawal period, including their date and wording.

3. Free resources and marketing

We use your email and optional first name to send a requested resource. Marketing is a separate choice and is never required for the download. Unsubscribe at any time using the email link or by contacting us.

4. Sharing and storage

We share only necessary data with your coach, providers of our website, email, storage, bookings and payments, including Microsoft 365, Bookings and Mollie. WhatsApp Business is optional. Accountants, advisers, a paying employer or authorities may receive data where needed. We do not sell data. Transfers outside the European Economic Area require appropriate legal safeguards.

Our usual retention periods are: resource requests without marketing consent, 3 months; registrations without coaching, 6 months after last contact; student, coaching and parent details, 2 years after coaching ends; financial records, 7 years. Marketing details are kept until you unsubscribe. Legal obligations or disputes may require longer retention.

5. Cookies and your rights

At launch, we use only necessary website technologies, with no Google Analytics, advertising pixels or marketing cookies.

You can request access, correction, deletion, restriction or transfer of your data, object to its use or withdraw consent. Email hello@dutchcoachingstudio.com; we normally respond within one month. You can also complain to the Dutch Data Protection Authority.
